THE ORDER OF STAY AT THE Hampton by Hilton Moscow Strogino HOTEL

The Hampton by Hilton Strogino Hotel is designed for temporary accommodation of Russian and foreign citizens. Check-in at the hotel is possible upon reaching the age of 18.

The Hotel's operating mode is round-the-clock.

The hotel charges an additional cost for the accommodation of the second and third person in the room according to the hotel's tariff policy. 

An extra bed is provided for an additional fee.the fee is 1000 rubles/day. The quantity is limited, please check the availability in advance. An extra bed is not allowed in the following room categories: Queen room with sofa bed and TWIN room.

Check-in at the Hotel is carried out from 15:00 of the current day local time, provided that the consumer presents the original identity document in accordance with the legislation of the Russian Federation, including:

To check into a hotel located in Russia, you will need one of the following documents:

  • A passport of a citizen of the Russian Federation certifying the identity of a citizen of the Russian Federation on the territory of the Russian Federation;
  • A passport of a citizen of the Russian Federation certifying the identity of a citizen of the Russian Federation outside the Russian Federation;
  • Temporary identity card of a citizen of the Russian Federation;
  • Russian National Driver's license;
  • *If the contractor uses a unified biometric system, a multifunctional information exchange service, or a mobile application of the federal state information system "Unified Portal of State and Municipal Services (Functions)" (used in the case of a consumer checking into a hotel type of accommodation facility), a consumer who is a citizen of the Russian Federation may also check into the accommodation facility if on condition of identification and (or) authentication using a single biometric system in the case provided for in paragraph 24 of these Rules, or on condition that such a consumer submits the information contained in his identity document using a multifunctional information exchange service or using the mobile application of the federal state information system "Unified Portal of State and Municipal Services (functions)". (Effective from 04/01/2026 and valid until 03/01/2032)

For children under 14 years of age: birth certificate. When checking into the hotel for minors (under 18 years of age) Unaccompanied by parents/guardians, parental/guardian Consent is required for accompanying persons with a copy of the parent/guardian's passport.

For foreign citizens: passport of a foreign citizen or other identity document that is recognized in Russia, migration card, valid visa (if applicable)

For stateless persons: an identity document issued by another state and recognized in Russia; a temporary residence permit; a residence permit.A passport of a citizen of the USSR, certifying the identity of a citizen of the Russian Federation, until it is replaced by a passport of a citizen of the Russian Federation within the prescribed period.

THE PROCEDURE FOR STAYING IN A HOTEL with pets:

Dogs weighing less than 7 kg (small breeds of dogs) are allowed in the hotel, provided they have a carrier and a vaccination certificate. 

The cost of 1 pet is 2500 rubles for the entire period of stay (for up to 7 days). If the stay is extended, the amount will be paid again.

The cost of a refundable deposit (in case of damage to the property of the hotel) is 10,000 rubles

GUARANTEED BOOKING

Starting from 03/01/2026, according to Government Decree No. 1912 dated 11/27/2025, all reservations must be guaranteed: with Russian bank card data, payment for the first day of stay by depositing cash at the hotel's cash desk, as well as remote card payment (link) or SBP.

Check-in at the hotel is made only after the guest has made an advance payment for the entire expected period of stay. Upon check-in at the hotel, an employee of the guest service department issues the guest a registration card to sign, followed by the room key.

With a guaranteed reservation, the hotel awaits the guest until 12:00 the next day after the scheduled arrival, subject to payment.

THE RULES FOR SHORTENING THE LENGTH OF STAY AT THE HOTEL:

The Guest is obliged to inform the Hotel about the change of the dates of stay, cancellation of the reservation, regarding the confirmed reservation at least before 23:59 (Moscow time) on the day preceding the day of arrival.

In case The guest informs about the cancellation /change of the arrival date after the specified time, the hotel has the right to deduct the penalty for the "idle" room, but not more than a day.

If the guest does not arrive at the hotel before 12 p.m. following the day of the confirmed arrival, the Hotel has the right to deduct the penalty for "room downtime", but not more than a day. Also, the room reservation will be cancelled and the room will be released for free sale.

PERSONAL DATA PROCESSING POLICY

  General Provisions

This Personal Data Processing Policy of ORBITA HOTEL MANAGEMENT Limited Liability Company (hereinafter referred to as the "Policy") has been developed in accordance with Federal Law No. 152-FZ dated July 27, 2006 "On Personal Data" and other regulatory legal acts of the Russian Federation governing personal data processing and security.

The Policy is the primary document establishing the general principles, conditions, legal grounds, purposes, and scope of personal data processing, the main rights and obligations of data subjects and ORBITA HOTEL MANAGEMENT Limited Liability Company (hereinafter referred to as the "Operator"), as well as measures aimed at ensuring the security of personal data processing.

Internal local regulations are developed on the basis of this Policy.

The provisions of the Policy are mandatory for the organization of personal data processing by the Operator and for compliance by all employees of the Operator who process or have access to personal data.

The provisions of the Policy shall be taken into account when interacting with third parties if their participation in personal data processing is required.

The Policy establishes the main principles for the transfer (provision, dissemination, access) of personal data to third parties, including cross-border transfer of personal data.

2. Principles of Personal Data Processing

The Operator processes personal data in accordance with the following principles:

  • legality and fairness;
  • limiting the processing of personal data to the achievement of specific, predetermined, and legitimate purposes compatible with the purposes for which the personal data was collected;
  • preventing the merging of databases containing personal data processed for purposes that are incompatible with each other;
  • processing only personal data that is relevant to the stated processing purposes;
  • ensuring that the content and scope of processed personal data correspond to the stated processing purposes;
  • preventing the processing of personal data that is excessive in relation to the stated processing purposes;
  • ensuring the accuracy, sufficiency, and relevance of personal data in relation to the purposes of processing;
  • storing personal data in a form that allows identification of the data subject for no longer than required by the purposes of processing, unless a storage period is established by federal law or a contract to which the data subject is a party, beneficiary, or guarantor;
  • destruction of personal data upon achievement of the processing purposes or when such purposes no longer require processing, or where it is impossible for the Operator to eliminate violations related to personal data processing, unless otherwise provided by federal law;
  • ensuring security during personal data processing;
  • providing the ability to confirm compliance of personal data processing with the stated principles.

3. Purposes of Personal Data Processing

The Operator processes personal data for the following purposes:

  • exercising the rights and legitimate interests of the Operator within the scope of activities provided for by its Charter;
  • providing hotel services in accordance with the Charter, including guest check-in and check-out, and related services (transportation services, event organization);
  • recruitment and personnel selection;
  • management of employment relations with the Operator's employees, including HR administration, payroll calculation and payment, training, professional development, performance evaluation, career advancement, organization, support and maintenance of electronic signatures, internal investigations and audits, and organization of document storage and destruction after termination of employment;
  • creation of internal information resources (information boards);
  • provision of additional benefits, financial assistance, and other payments to employees and their family members, as well as execution of court orders regarding the recovery of funds from employees in favor of their relatives;
  • accounting and tax administration, including tax payments;
  • migration registration;
  • preparation, conclusion, execution, and termination of agreements where the personal data subject acts as a party, beneficiary, or guarantor;
  • preparation, conclusion, execution, and termination of agreements with counterparties;
  • compliance with the requirements of Russian legislation and other regulatory legal acts, including obligations to provide personal data to the Federal Tax Service, Pension Fund, Social Insurance Fund, and Federal Mandatory Medical Insurance Fund;
  • execution of court decisions and acts of governmental authorities or officials subject to enforcement under Russian law;
  • responding to requests from state and municipal authorities and personal data subjects.

4. Scope of Personal Data Processed

The list of processed personal data is determined in accordance with the legislation of the Russian Federation and the Operator's local regulations and is necessary and sufficient for achieving the stated purposes.

Categories of Personal Data Subjects Processed by the Operator:

  • job applicants;
  • employees;
  • family members of employees;
  • former employees;
  • interns;
  • counterparties;
  • external specialists;
  • guests.

The list of personal data processed is defined and documented in the "List of Personal Data Processed Using Automation Tools at ORBITA HOTEL MANAGEMENT LLC" and the "List of Personal Data Processed Without Using Automation Tools at ORBITA HOTEL MANAGEMENT LLC."

The list of information systems is defined and documented in the "Register of Personal Data Information Systems of ORBITA HOTEL MANAGEMENT LLC."

Processing of special categories of personal data (health information) is carried out by medical organizations for the purpose of initial and periodic health examinations of employees under contractual arrangements and with the consent of personal data subjects.

5. Conditions for Personal Data Processing

The Operator processes personal data where at least one of the following conditions applies:

  • the personal data subject has provided consent to the processing of their personal data;
  • compliance with the requirements of Russian legislation, including:
    • Labour Code of the Russian Federation;
    • Civil Code of the Russian Federation;
    • Tax Code of the Russian Federation;
    • Federal Law No. 402-FZ dated December 6, 2011 "On Accounting";
    • Federal Law No. 167-FZ dated December 15, 2001 "On Mandatory Pension Insurance in the Russian Federation";
    • Federal Law No. 255-FZ dated December 29, 2006 "On Mandatory Social Insurance for Temporary Disability and Maternity";
    • Federal Law No. 125-FZ dated July 24, 1998 "On Mandatory Social Insurance Against Occupational Accidents and Diseases";
    • Federal Law No. 326-FZ dated November 29, 2010 "On Mandatory Medical Insurance in the Russian Federation";
    • Federal Law No. 27-FZ dated April 1, 1996 "On Individual (Personalized) Registration in the Mandatory Pension Insurance System";
    • Federal Law No. 63-FZ dated April 6, 2011 "On Electronic Signature";
    • Federal Law No. 53-FZ dated March 28, 1998 "On Military Duty and Military Service";
    • Order of the Ministry of Health of the Russian Federation No. 835n dated December 15, 2014;
    • Resolution of the Government of the Russian Federation No. 719 dated November 27, 2006 "On Military Registration";
    • Resolution of the Government of the Russian Federation No. 1853 dated November 18, 2020 "On Approval of the Rules for the Provision of Hotel Services in the Russian Federation";
  • participation of the Operator in constitutional, civil, administrative, criminal, or arbitration proceedings;
  • execution of court orders or acts of state authorities or officials subject to enforcement under Russian legislation;
  • performance of a contract where the personal data subject is a party, beneficiary, or guarantor;
  • protection of the life, health, or other vital interests of the personal data subject where obtaining consent is impossible;
  • compliance with the Operator's internal policies and local regulations.

The Operator processes personal data both manually and through automated means, with or without transmission over information and telecommunications networks, as well as through mixed processing methods.

The Operator performs the following processing activities: collection, recording, systematization, accumulation, storage, updating (modification), retrieval, use, transfer (provision, access), blocking, deletion, and destruction of personal data.

The Operator may entrust personal data processing to a third party with the consent of the personal data subject and on the basis of a concluded agreement. Such third party shall comply with the requirements and principles of personal data processing established by the legislation of the Russian Federation.

6. Rights of the Personal Data Subject

A personal data subject has the right to obtain information from the Operator regarding the processing of their personal data.

The personal data subject has the right to request clarification, blocking, or destruction of their personal data if such data is incomplete, outdated, inaccurate, unlawfully obtained, or unnecessary for the declared processing purpose, as well as to take other measures provided by law to protect their rights.

Upon the request of the personal data subject, the Operator must immediately cease processing the subject's personal data, taking into account the requirements of Article 9(2) of Federal Law No. 152-FZ dated July 27, 2006 "On Personal Data."

If a personal data subject believes that the Operator processes personal data in violation of the law or otherwise infringes upon their rights and freedoms, the subject may appeal the Operator's actions or omissions to the authorized personal data protection authority or to a court of law.

The personal data subject has the right to protect their rights and legitimate interests, including compensation for losses and/or moral damages through judicial proceedings.

7. Ensuring the Security of Personal Data Processing

The Operator determines and maintains a set of legal, organizational, and technical measures necessary to ensure compliance with the requirements of Federal Law No. 152-FZ dated July 27, 2006 "On Personal Data" and adopted regulatory legal acts.

The Operator implements the following measures to ensure the security of personal data processing:

  • appointment of a person responsible for organizing personal data processing;
  • development of internal regulations aimed at ensuring compliance with personal data processing principles;
  • introductory training on personal data processing and protection for newly hired employees who have access to personal data;
  • familiarization of employees with the requirements of Russian legislation and the Operator's internal regulations on personal data processing and protection;
  • assessment of potential harm to personal data subjects in the event of violations of personal data legislation;
  • identification of threats to personal data security and development of a threat model;
  • implementation of a personal data protection system based on the threat model;
  • ensuring physical security of premises and facilities used for personal data processing;
  • segregation and control of user access to information resources and personal data processing tools;
  • maintenance of records, storage, and handling procedures for information media and their storage locations.
